A medical administrative assistant who can also be called a medical secretary performs most of the administrative tasks of a doctor. They help hospitals work well through their services, help and assist patients and answer their questions. A medical administrative assistant, besides knowing how to deal with administrative tasks, must have a thorough knowledge of the operation and the requirement of a medical unit.

Medical administrative assistants are primarily involved in office management staff and greeting of clients. They help create a well-maintained atmosphere in the hospital and provide all kinds of help for patients and doctors. A person who has a good personality and good communication skills can certainly become a good medical assistant.

Duties of Medical Assistants:

  • Check the patient data by examining the patient; record the medical history of the disease; confirming the purpose of the visit.
  • Preparation of patient by performing preliminary physical tests; take blood pressure, weight and temperature; reporting a summary of the patient’s history.
  • Saves time for the ophthalmologist by helping with office procedures such as laser operations, tear duct probes.
  • Provide patient information and maintain patient confidence by completing and backing up medical records; complete the diagnostic coding and encode the procedure; Keep confidentiality of patient information.
  • Advise patients by forwarding doctor’s orders and questions about the operation.
  • Planning of surgical programs with the surgical centre; verifying times with the patients; prepare tables, pre-registration forms, and consent.
  • Maintains a safe, healthy and secure workplace by establishing and monitoring standards and procedures; complying with the legal regulations.
  • Keep consumables supplies ready by stock inventory; make orders; confirmation of receipt.
  • Improves the reputation of practice by accepting ownership by meeting new and different applications; explore opportunities to add value to your professional achievements.
  • Bargain with suppliers that provide hospital products such as syringes, gloves, seams, and other hospital equipment and infrastructure needed for the hospital
  • Take care of the management issues and keep track of receiving and going out of staff at the hospital
  • Maintaining database management, such as the number of patients arriving in a day, provided services, daily hospitality transactions etc.
  • Hires new administrative hospitals staff and trains them in hospitals functions and administrative tasks
  • Transcribe doctor notes and dictation, check patient records or reports, and highlight key points in their reports that can be used for treatment
  • Handling all sorts of office equipment such as fax machines, printers, computers, Xerox machines, video conferencing equipment etc.
  • Provide the necessary help to doctors and ensure they receive the equipment and the means to treat patients.

Education

Medical administrative associates must have a bachelor or master’s degree in medical Nursing. Some hospitals even hire people who do not have a nursing degree but who have experience as administrators in any medical care and who know medical terminology. There are several certification courses available in nursing that can also qualify an individual for the position of a medical assistant.

Skills

  • Must be familiar with medical jargon and all the necessary amenities in the health unit
  • Must have good written and verbal communication skills and administrative skills
  • Experience in managing office tools such as a computer, a fax machine, phone etc.
  • Efficiently manage common office software, such as MS Access, MS Excel, etc.
  • Good bargaining skills, management skills and analytical skills
  • Must be able to understand patient requirements and provide patient support
